Refund & Student Withdrawal Policy
At Vertical Vision Flight Academy, we strive to provide transparent and fair policies for all students. The following policies outline how refunds, course cancellations, and training withdrawals are handled.
Approved refund requests will be processed by the Accounting Department. Requests outside the situations listed below may be reviewed on a case-by-case basis. Approval of a single refund does not guarantee future refund approvals.
Flight Lesson Refunds
If a scheduled flight lesson cannot be completed due to a mechanical issue with the aircraft prior to takeoff, and the issue cannot be resolved using procedures outlined in the Aircraft Flight Manual (AFM) or Pilot Operating Handbook (POH), the lesson will qualify for a full flight refund.
In some situations, your instructor may choose to substitute the lesson with an alternative training activity, such as simulator training or ground instruction. If an alternative lesson is provided, it will be billed at the standard training rate.
Ground School Refunds
Ground school course refunds are available according to the following schedule:
100% Refund – Cancellation requested on or before the scheduled course start date
50% Refund – Cancellation requested 7–14 days after the course start date
25% Refund – Cancellation requested 15–30 days after the course start date
No Refund – Cancellation requested more than 30 days after the course start date
This refund policy applies regardless of which course a student may enroll in next.
Student Graduation & Withdrawal
Upon the completion of their program or discontinuation of flight training with Vertical Vision Flight Academy, the student must be formally graduated or withdrawn from the program.
This process ensures that training records, student accounts, and regulatory documentation remain accurate.
Students may withdraw from training for reasons including, but not limited to:
Completion of a training program (graduation)
Choosing not to continue aviation training
Transferring to another training provider
Personal or financial circumstances
Flight Account Status
The student’s flight account must accurately reflect their training status at all times.
Any changes in training status, including graduation or withdrawal, will be coordinated through the Administration Department to ensure proper documentation and recordkeeping.
Unused Training Funds
If a student withdraws from training and has unused funds remaining in their flight account, those funds will be returned according to the academy’s refund procedures.
If the unused funds originated from a student loan or financing provider, the remaining balance will be returned to the lender within 45 days of the submission of the Student Program Withdrawal Form.
Early Withdrawal Fee for Loan-Funded Students
Students who are training through a flight training loan or financing program and choose to withdraw from training before completing their enrolled program will be subject to a $5,000 early withdrawal fee.
This fee helps cover administrative costs, training resources allocated to the student, and program infrastructure associated with financed training programs.
The early withdrawal fee will be deducted from any remaining funds in the student’s flight account, if applicable.
Student Record Updates
When a student graduates from or withdraws from a training program:
Their training status will be updated in the academy’s training management system
They will be removed from any active courses
Their student account may be deactivated if they are no longer actively enrolled
These procedures help ensure accurate internal records, regulatory compliance, and proper reporting.
Withdrawal Documentation
Students who wish to discontinue training must submit a Student Program Withdrawal Form to the Administration Department.
All documentation related to withdrawal or graduation will be retained within the academy’s training management system for internal recordkeeping and regulatory audits.
